ACCOUNTS RECEIVABLE ADMINISTRATIVE ASSISTANT

POSITION SUMMARY

The Accounts Receivable Administrative Assistant (ARAA) focus will be tracking and processing all aspects of accounts receivable for Restoration Relief.  They will be working closely with Project Manager Assistants in completing the process of job recordkeeping.  The ARAA will also be involved with the day-to-day main office functions.  This role encompasses various tasks ranging from hands on projects to computer systems and accounting functionalities.  The ARAA will have an uplifting support presence for all interactions to result in a pleasant overall office environment.

MAJOR DUTIES AND RESPONSIBILITIES

  • General Administration – Function as the initial point of contact with guests and visitors. Answering and directing incoming phone calls, taking messages as needed.  Review and distribute incoming mail while ensuring the confidentiality and security of files and filing systems.  Coordinating lunches for meetings and support for events as needed.  Assist in additional office tasks to support workload and coverage for team members as needed.
  • Accounts Receivable – Liaise with the Project Manager Assistants to create invoice packages and send to customers upon job completion. Track and process incoming monies and update all systems accordingly.  Maintain overall cash projections for receivables.
  • Collections – Follow up with clients on receipt of invoice and payment status to include sending interest statements. Track delinquent invoices and file paperwork as needed for court proceedings. Keep a proactive approach for cash flow vs reactive.
  • Business Taxes – Responsible for processing sales and use tax payments in a timely manner in accordance with State and Federal laws.
  • Data & Paperwork Processing – Maintain and process the other portions of the ‘invoice packet’ to include customer surveys, thank you notes and referral payments.
  • Business Development Administration – Support with event planning and Holiday gift activities. Assist with CE course facilitation, meeting minutes as well as ordering promotional materials.  Engage with social media and be integral part of design products.

Prerequisites and Qualifications

  • Good attitude and work ethic
  • Strong organizational and interpersonal skills
  • Excellent communication, both written and verbal
  • Ability to work under high levels of activity
  • Two plus years’ experience working in office administration or accounting related position
  • Solid understanding of Microsoft applications

STRUCTURE & CONTENT CLEANING TECHNICIAN

POSITION SUMMARY

The Content & Structure Cleaning Technician is an entry level position.  The Content & Structure Cleaning Technician will be assigned to work teams as directed by the scheduling team through the operations department.  The Content & Structure Cleaning Technician will assist other team members by providing skilled and unskilled labor while learning the techniques and receiving training required to perform professional mitigation and disaster cleaning services for Restoration Relief clients.

LEAD MITIGATION TECHNICIAN

POSITION SUMMARY

The Lead Mitigation Technician is assigned by the Operations Department on a day to day basis.  The Lead will supervise any other Customer Service Technician assigned to the project.  They  will have the responsibility and authority to direct along with coordinate all activities on the job site to meet all goals established for that day.  Every job is unique and could consist of any of the following: water damage, fire damage, sewer damage, mold damage, or storm damage.  The ability to deliver strong leadership in all aspects of the mitigation project is a must.

RESPONSIBILITIES

  • Know and follow all job safety requirements
  • Understand, in detail, the scope of work to be performed
  • Be the point of contact between the client and the project manager
  • Assure client’s concerns are heard, addressed, and communicated to the Project Manager
  • Assure documentation is completed for every monitoring day
  • Assure the job site is neat and orderly, especially before leaving at the end of the day
  • Will delegate driving to another crew member so road time can be as productive as possible with completion of documentation
  • In cooperation with the Project Manager, the Lead Customer Service Technician will have the responsibility and authority for onsite work sequencing, and how to perform the work to accomplish the goals for the day
  • Will assure the job note are logged and delivered at the end of each day on the job site through our job management system

EXPERIENCED CARPENTER

POSITION SUMMARY

The Lead Carpenter is assigned by the Operations Department on a day to day basis to work towards completing projects assigned and ran by the Project Manager.  The Lead Carpenter will supervise any other Customer Service Technicians assigned to the job and will have the responsibility and authority to direct along with coordinate all activities on the job so all goals for that day are achieved.  It is the Lead Carpenters responsibility to communicate directly with the Project Manager for proper scope of work needed for the project.

  • Trim Carpentry
  • Kitchen and vanity installation

  • Roofing patching and storm damage securing

RESPONSIBILITIES

  • Assure required materials are on hand prior to arriving at the job site
  • Assure required tools are on hand prior to arriving at the job site
  • Be the point of contact between the onsite crew and the Project Manager

  • Assure documentation is completed for the day
  • Assure the job site is neat and orderly, especially before leaving at the end of the day
  • Will delegate driving to another crew member so road time can be as productive as possible with completion of documentation
  • In cooperation with the Project Manager, the Lead Carpenter will have the responsibility and authority for onsite work sequencing, and how to perform the work to accomplish the goals for the day
  • Will assure the Project Manager and Scheduler is updated at the end of each work shift through our an email with our job management software
