PROJECT COORDINATOR

POSITION SUMMARY
The Project Coordinator (PC) is responsible for driving the process of the client projects at Restoration Relief. The PC will coordinate with the project team in keeping documentation current and accurate while verifying policies and processes are followed.
The PC will play a vital role in customer service and communication, responsible for serving as the key communication link between the client, insurance company, adjusters, Restoration Relief project team and others involved with the project.
MAJOR DUTIES AND RESPONSIBILITIES
- Lead Intake – Function as the initial point of contact with clients on new claims including phone conversations or text messages to gather as much data as possible for project record. Coordinate with Operations or Project Manager to set up inspection. Enter data in all systems and dispatch to appropriate team for follow through.
- Inspections – Track completion, process service authorizations and ensure inspection report was completed. Gather any remaining missing details, coordinating with Business Development as needed. Confirm Project Manager has been onsite for ES jobs if they were not the one to inspect.
- Valuations – Proofread and correct valuations as needed with project team. Send valuations to adjusters or clients for their review and approval. Follow up for approval by contacting adjusters or clients directly until agreed scope is approved.
- Contracts & Change Orders – Create contract or change order packages based on information provided by the Project Manager. Set up signing appointments or email contracts as needed. Track signed contract status with deposit payment.
- Accounts Receivable – Responsible for tracking funds of the project from the beginning of the job – not waiting until the end. Process remaining paperwork as needed for funds to be released from insurance. Send project data to AR for final invoicing.
- Project Team Meetings – Arrange weekly meetings with Project Manager and/or Estimator to update and review project status and financials. Generate report and update system directly with updates. Review and use system tracking tools.
- General Project Related Tasks – Ensure the project notes are updated regularly with status of activity. Ensure daily updates are coming through from the technicians. Communicate with the client throughout the project. Process ITEL and San Air samples as needed. Track, collect and process inventory logs and send to adjusters or clients. Assist the Project Manager with work order and budget creation.
- Other special projects as assigned by the Director of Project Management & Estimating.
MINIMUM QUALIFICATIONS
- Good attitude and work ethic
- Excellent communication and customer service skills, both written and verbal
- Computer skills – ease of learning and troubleshooting new systems
- Solid understanding of project accounting
- Ability to work under high levels of activity and prioritize accordingly
- Two plus years’ experience working in related field or industry preferred

- Cheerleader customers, internal and external as indicated through client and peer feedback
- Project Team success with projects completing on time and on budget
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit or stand, apply range of motion within hands and fingers, including sensitivity to touch, and use a computer. The employee frequently is required to talk, hear, and reach with hands and arms. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
